Invoices - 9x12 Method CRM Walkthrough

Mitchell TeboApril 28, 20253:06

How to send advertiser invoices in the 9x12 Method CRM, comparing auto invoices for closed won contacts with custom invoices for discounts and one-off fees.

Key takeaways

  • Auto invoices need saved payment links in settings and a contact in the closed won pipeline stage, then they fill in the client details for you.
  • Use a custom invoice when you need a discounted rate, a specific due date, or a payment link created for that one charge.
  • New invoices start as drafts, so preview exactly what the client will see and download a PDF before sending it by email.
  • Clients receive an email showing your company name and a pay now button that opens your own Stripe checkout page.
  • Sales tax usually does not apply to marketing services in most states, but Mitchell advises checking the rules in your own state.

Welcome to the 9x12 method CRM invoicing tab. This is where you can manage your invoices and actually send invoices to your customers. So, there's two ways that you can send an invoice. You can create an auto invoice or you can create a custom invoice. In order to create a auto invoice, you will have had to do two things already.

You would have had to go to your settings and added in your payment links. See the settings tutorial for information on that. And you'll also have to have somebody in your closed one pipeline stage so that it actually recognizes it because you're going to have to select from your closed one contacts. So here we choose Mitchell Tibo and it'll automatically populate his information. That way it knows exactly where to send the email to and it saves you time.

It already knows from his contact card that he was interested in the single ad space. And if you had a save payment link, which I don't, it would show you what payment link it's going to use. And then you can press create invoice. But now we're going to move on to create a custom invoice so you can see the difference. For a custom invoice, you don't need your settings set up and you can choose from any of your contacts.

So you create a custom invoice and you can select a contact here or you can enter the contact info manually, but I choose Mitchell Tibo because he's who I'm going to be invoicing for a medium slot. It'll automatically populate his information again. You can set the issue date, which would be today, and you can set the due date for when you want him to pay by. Let's say typically you charge $600 for a medium slot, but this time you're only charging $500. That's when you would use the custom invoice because you can actually set discounted rates and you would set the unit price and the amount.

Now, this is where you can enter the custom payment link for the specific charge that you're going to be creating because remember, we want this to come from your Stripe account because you are charging them. And you'll see what the invoice looks like once we create it. You can add any notes that you would like. In most cases, in most states, sales tax doesn't apply for marketing services, but check the laws and the tax regulations in your state. You can also change the name of the label.

Like, then we're going to create the invoice. So, the invoice didn't send to Mitchell yet, but we've created it, and right now it's in draft mode. So, you can view what the invoice is actually going to look like here. You can see that the invoice has a pay now button, and this is exactly what your client's going to see. You can download a PDF of your invoice and you can choose to click send right here.

You can also send straight from here. So you go to actions, send. So we've now sent the invoice via email and I'm going to show you exactly what it looks like on the client's end. Here we are on the client's end and this is what they received. So this 9x12 method will actually be your company name that you have set up in your settings.

So if your name is big mailer, it will say postcard ad invoice from big mailer. And it also will have your name, not Mitchell Tibo. The reason it has Mitchell Tibo is cuz I'm the one sending it from my account. But if your name is Bob, it's going to say Bob. And then this is what they see on the invoice.

and has a very clear pay now button which will bring them to your Stripe checkout page on your Stripe account with the payment link that you specified.
